Introduction

A German bank with 2,000 employees needed a modern, secure, and future-ready digital workplace. The goal: move to Windows 11 and Microsoft 365 Apps for enterprise without disrupting daily operations. Avenga guided the bank through planning, testing, and deployment to ensure a seamless transition.

Challenge

The bank had to upgrade 2,000 laptops and 1,600 virtual desktops while maintaining full business continuity. Each system required security, compliance, and compatibility checks. Avenga managed end-to-end readiness, coordinated testing of 200 business applications, and executed a phased rollout to keep operations running smoothly.

Solution

Avenga supported the bank in the procurement of 2,000 new Windows‑11‑ready laptops, ensuring availability, standardized configurations, and compliance with enterprise requirements. This included coordinating a public tender, ordering processes, UEFI/BIOS configuration, and Microsoft Intune device enrollment to support a smooth and scalable rollout.
Together with project managers of different departments at the bank, Avenga closely coordinated rollout readiness with IT infrastructure teams for identity, security, device management, and Microsoft 365. This ensured that hybrid identity, endpoint security, device management, and governance were fully aligned and ready before the first device was deployed.
About 200 banking applications were tested for compatibility with 64‑bit Windows 11 and Microsoft 365 Apps for enterprise. Avenga orchestrated testing across business units, managed feedback loops, and coordinated remediation or replacement to safeguard uninterrupted business operations.
We planned and executed a phased rollout of the 2,000 new laptops with Windows 11 and M365 Apps for enterprise across business units. We also coordinated with the VDI team of the bank on the upgrade of 1,600 virtual machines. This included detailed scheduling, coordination with on‑site staff, and close alignment with support teams to minimize downtime and ensure a seamless employee transition.
We collaborated closely with change management and corporate communications teams to support user readiness. Through structured stakeholder coordination, regular touchpoints, and clear messaging, we achieved transparency and minimized business disruption during the transition to the new digital workplace.

Process

Project initiation & planning

The project started with detailed planning across hardware, infrastructure, applications, and rollout streams, with Avenga working closely with the bank to align all stakeholders.

Governance structures, responsibilities, timelines, and success criteria were defined early, establishing a controlled delivery framework for the seven-month transformation.

Infrastructure & hardware readiness

Prior to the rollout, Avenga supported the procurement of 2,000 Windows 11–ready laptops and prepared standardized UEFI/BIOS configurations and Intune enrollment.

In parallel, identity, security, and Microsoft 365 configurations were validated to ensure a stable, secure, and scalable foundation.

Application readiness & business testing

About 200 applications were tested for 64-bit Windows 11 and Microsoft 365 apps for enterprise compatibility, supported by regular coordination calls, and managed remediation where needed.

Avenga coordinated testing with business units through regular alignment calls and managed remediation where needed to safeguard uninterrupted operations.

Phased rollout of physical devices

The rollout of 2,000 Windows 11 laptops was executed in a phased approach, with deployments organized per business unit to minimize operational risk.

Onsite teams handled device handovers, while 1st and 2nd level support engineers ensured rapid issue resolution during live usage.

VDI upgrade execution

In parallel with the physical rollout, Avenga supported coordination of the upgrade of 1,600 Omnissa Horizon virtual desktops to Windows 11 and Microsoft 365 Apps for enterprise.

This ensured a consistent, secure user experience across both physical and virtual work environments.

Stabilization & transition to operations

The final phase focused on stabilization, monitoring, and knowledge transfer to operational teams.

Support demand normalized, remaining issues were resolved, and the solution was handed over to steady-state operations, closing the project with a fully modernized, Windows 11–ready workplace.

Results

  • Successful migration of all 2,000 physical laptops and 1,600 virtual desktops to Windows 11 and Microsoft 365 Apps for enterprise within 7 months.
  • Compatibility testing and remediation completed for approximately 200 banking applications without business disruption.

See what a smooth, large-scale digital workplace transformation looks like in action.
